About The James Agency

Full-service integrated marketing agency specializing in hospitality and food & beverage

The James Agency is a full-service integrated marketing agency based in Scottsdale, Arizona, with a team of 30-35 people across departments including design, web development, PR, client services, and video production. The video team, led by Production Director Jillian Green, produces a high volume of social media content alongside larger lifestyle productions for clients in the hospitality and food & beverage industries, including resort and restaurant brands. With a 21-year track record, The James Agency combines strategic brilliance, design innovation, and fearless advertising to deliver comprehensive marketing solutions.

The Challenge

A chaotic patchwork of hard drives and cloud tools threatening data security and team efficiency

The James Agency's video workflow was complicated. The team relied on four to six external G-Drives that were constantly passed between editors, videographers, and the production director. As the volume of projects increased, often juggling six to seven videos for six to seven brands simultaneously, it became nearly impossible to track who had which drive, which drive held which project.

Each hard drive had its own organizational structure. Each team member used their drives differently. When someone was out on a shoot with a drive, deadlines had a higher potential to suffer. The rest of the agency grew frustrated as simple five-minute edits turned into hours-long searches for the right files.

For their remote editor, the workflow was even more painful. The team used Box for storage but constantly hit bandwidth limitations. Every project required creating proxies, uploading them to Box, waiting for the editor to download, edit, re-upload, then relinking proxies locally to finish. Frame.io handled internal and client reviews, but the system was fractured, three separate tools, none of them talking to each other, all creating bottlenecks.

Learn why top agencies, global brands, and high-growth enterprises use Shade.

Introduction to Shade

One platform to replace hard drives, Box, and Frame.io

Jillian didn't know something like Shade existed until she got fed up with the inefficiency and started searching for a better way. The James Agency needed what their designers already had with the agency's server, a centralized system where anyone could pick up where a teammate left off. But video files are too large for traditional servers, and the team was maxing out their local storage capacity immediately with 4K footage.

Shade solved everything. It replaced the chaotic hard drives Shade’s Active storage. It replaced Box's bandwidth limitations with seamless remote access. It replaced Frame.io's review tool with customizable sharing links that gave the team full control over what clients could see and do. And most importantly, it gave the video team the collaborative workflow they'd been missing, where any editor could jump into any project without hunting for drives or relinking files.

The New Workflow

Centralized storage, seamless collaboration, and AI search that finds footage instantly

With Shade, The James Agency's video team now works from a single source of truth. All footage is uploaded to Shade's Active storage, where the entire team, including their remote editor, can access it without proxy workarounds or bandwidth limits. Team members can pick up where others left off. No more hunting for drives. No more version confusion.

Client collaboration has been transformed, too. The team creates customizable share links with granular controls, toggling on or off features like timestamp comments, metadata display, and download access depending on whether it's an internal review or a client-facing presentation. Clients can proof videos and download final assets all in one spot, and the team controls exactly what experience each stakeholder gets.

The feature that consistently delivers "wow" moments? AI-powered facial recognition search. Recently, the team needed to create a 10-year anniversary video for a client's long-time employee. Using Shade's facial recognition, they tagged the employee's face across years of footage, then searched to instantly pull up every clip featuring him. Their remote editor quickly scrubbed through the results, assembled the best blooper reels and outtakes, and handed it back for finishing touches, all done in time for the celebration.

Present Outcome

No more lost drives, no more bottlenecks, and other departments are interested now

Since adopting Shade, The James Agency has eliminated the chaos. The video team is no longer fighting against themselves with disparate hard drives and conflicting file structures. Data is secure, centralized, and accessible to everyone who needs it. Remote collaboration with their remote editor is seamless, no more proxy juggling or bandwidth headaches.

The efficiency gains have been so obvious that other departments are already asking for access. The video team started with Shade, but the platform's superiority over Box, even for non-video workflows, has sparked interest across the agency. As Jillian puts it, "It's just so much better than Box. Not even for video, I think, for all kinds of different applications."

The peace of mind alone has been transformative. No more sleepless nights worrying about unorganized files. The James Agency's video team can now focus on what they do best: delivering high-volume, high-quality content for their hospitality and food & beverage clients, without the operational chaos holding them back.
