Creative Media Company Streamlining Storage and AI Metadata Integration

Company Situation

The company operates a creative media production team responsible for video editing, content creation, and digital asset management across multiple platforms including in-house TVs and online channels. Their team is mid-sized and handles large volumes of video and image content, relying on significant local storage capacity to manage their media files.

Existing Workflow

The team utilizes a Unify NAS Pro server with approximately 50 terabytes of storage to hold their media assets. Content is uploaded directly to the NAS in their server room. Remote access to files is currently possible but limited by an outdated and cumbersome user interface, which impacts how efficiently team members can preview, search, and retrieve media assets—especially when working remotely or from home.

Issues with the Existing Workflow

The native NAS user interface is difficult and unintuitive to navigate, making file access frustrating. Remote users face challenges in previewing files without downloading them, leading to inefficient workflows. Searching for media assets is limited to file names only, often requiring blind searches without meaningful metadata. Mobile experience for accessing and managing files is poor compared to desktop usage. Collaboration features like sharing, commenting, and review/approval are either absent or require manual workarounds.

How Shade Would Change Their Workflow

Shade would integrate seamlessly with the company’s existing NAS infrastructure by deploying an S3-compatible storage abstraction layer (via a Minio Docker container) that enables enhanced remote access and media management without replacing their current storage investment. Shade’s desktop and web apps offer a user-friendly interface that mimics the NAS experience but adds powerful features: - Mounting NAS drives locally for easy file browsing and streaming instead of full downloads. - AI-powered metadata generation to tag and categorize media automatically (e.g., identifying jersey numbers, shot types, indoor/outdoor scenes). - Full media previews directly in the app without the need to download large files. - Collaboration tools including commenting on specific video timestamps, review and approval workflows, and secure link or email-based file sharing. - A vastly improved mobile experience to support remote and flexible working arrangements.

Benefits

  • Dramatically improved remote file access and preview capability without the need for bandwidth-heavy downloads.
  • Enhanced metadata and search functionality powered by AI, reducing time spent locating specific assets.
  • Seamless integration with existing NAS hardware, protecting prior storage investments.
  • Simplified collaboration with internal and external stakeholders via built-in sharing and review tools.
  • Improved user experience on both desktop and mobile platforms, increasing productivity for creative teams.
  • Intelligent caching technology that enables fast, local-like access to remote NAS content.
